Correspondence Management
Legal correspondence such as letters, emails even SMS text messages flow regularly between fee earners and their clients on a daily basis for today’s modern Practice. System captures all formats as well as the file attachments that come with correspondence.
All correspondence types are stored neatly and accurately, side-by-side in the case records making them easily accessible to members of staff with the relevant user rights. The system is highly integrated with the Microsoft Office so that users can send documents of any type to Courts, agents and other relevant parties quickly and easily. System provides an Outlook ‘add to case’ button making it slick and easy for users to save emails correctly.
Court Bundle Generator
The System Court Bundle Generator takes all the stress out of bundle creation. The module supports automatic page numbering, automatic contents page creation and easy drag and drop functionality. Users are given a bundle template to which they can add files and documents as they are preparing for court. When happy with the bundle it is saved as a PDF to the case ready for the court appearance.
Document Version Control
Version control functionality comes as standard with System, different drafts and versions of a document can be managed automatically by the software without overwriting or losing any of the versions. The software tracks a series of draft documents, culminating in a final version, and it provides a full audit trail of the life of the document, recording all revisions through to the final version.
The System Out-Tray displays the most recent version, but a simple tick of a check-box displays all versions. A further click brings up the ‘revision history’ screen which shows all versions created, date and time stamped with user created name too. There is also functionality to compare two versions of the same Word document on screen side by side in System.
Document Register
System provides a document register for the long-term storage and subsequent retrieval of your clients’ most important hard-copy documents that have been entrusted to the safe-keeping of your firm. E.g. Wills, Deeds, Share Certificates. It is integrated with your case files indexing everything under the correct client record in your database. To safely track this important paperwork both log-in and log-out details are fully audited in the system.
Comprehensive details relating to each document are indexed so that any pertinent issues or warnings, like a ‘lease expiry’ or a ‘will review’ can be flagged up automatically.
Case Panel For Document Production
Some users need to be able to produce documents without running workflow steps. System is built with flexibility in mind. Documents in System can be produced either via the case management workflow charts automated as part of a step-by-step process, or alternatively there is an option to produce documents quickly and easily without running a workflow step. Users can simply generate documents from a visible list in a case with a preview panel that displays the document’s content . Document types are searchable from this panel, making life for fee earners and support staff much easier.
